Administrative Specialist of the Polish Pavilion

Location: Japan (Osaka)

PAIH is currently seeking an employee for the position of Administrative Specialist for the Polish Pavilion at EXPO Osaka 2025.

Your tasks:

  • managing the administrative matters of the Polish Pavilion concerning its operation, including in particular collecting and recording information on faults in the operation of the Pavilion and, in consultation with the Head of the Polish Pavilion, reporting them to the contractor responsible for the technical maintenance of the Polish Pavilion and contractors responsible for the provision of other services
  • collecting and registering demands for goods and services for the Polish Pavilion and the Commissioner of the Polish Section of EXPO 2025
  • placing orders for materials for the Polish Pavilion (in accordance with item 2) in cooperation with the Deputy Head of the Polish Pavilion, in accordance with the internal procedure of PAIH (PAIH Public Procurement Rules and Regulations)
  • conducting settlements with entities supplying utilities to the Pavilion, telephone and Internet operators, settling other operating costs, including collecting and verifying invoices, designating them and forwarding them through the IT system for approval
  • supervising the payment of royalties due to the EXPO Organizer by restaurant and shop operators
  • supporting the Head of the Polish Pavilion in settlements with restaurant and store operators regarding their consumption of utilities and utilization of telecommunications services
  • supporting the Head of the Polish Pavilion in the implementation of the procedure for applying for a Consumption Tax refund in Japan
  • supervision over maintaining cleanliness and hygiene in the Polish Pavilion and reporting reservations in this regard to the Head of the Polish Pavilion
  • support, if necessary, in the process of obtaining accreditations and entry permits to the EXPO premises for guests of the Polish Pavilion
  • carrying out tasks related to archiving documents
  • supporting superiors in ongoing activities ensuring the operational and functional maintenance of the Polish Pavilions
  • carrying out other tasks assigned by superiors

  • higher education, preferably in administration, management, or economics
  • experience in a similar position, at least 5 years, preferably in an international environment
  • fluent spoken and written English; knowledge of Japanese is desirable
